Scope
This policy applies to the CovenanTact website and the CovenanTact Home and CovenanTact Community services (collectively, the “Services”). An association or other organization using CovenanTact Community may make separate decisions about records it controls. Its own notices and obligations may also apply.
Information we collect
Information you provide
- account and contact information, such as name, email address, phone number, and authentication details;
- property, association, membership, role, and onboarding information;
- documents, messages, descriptions, notices, issues, calendar entries, correspondence, evidence, and other content you choose to submit;
- support, privacy, legal, and deletion requests; and
- billing or subscription information, where offered. Payment-card or bank information may be collected directly by a payment provider rather than by CovenanTact.
Information collected through use
We may collect device and browser information, IP address, timestamps, authentication and security events, feature activity, diagnostic data, and records needed to operate, secure, and troubleshoot the Services.
How we use information
We use information to provide and administer the Services; authenticate users; apply account, property, and association permissions; store and retrieve requested records; provide support; communicate about service and security matters; maintain reliability; prevent abuse; comply with law; and improve the Services.
How information is disclosed
We may disclose information:
- to service providers that host, secure, support, analyze, or help deliver the Services under appropriate obligations;
- within CovenanTact Community according to association membership, role, authorization, and record-visibility rules;
- to an association or its authorized administrators for association-controlled records and operations;
- when required by law or reasonably necessary to protect rights, safety, security, and the integrity of the Services; or
- in connection with a proposed or completed financing, reorganization, sale, or transfer, subject to applicable law.
We do not sell personal information for money. We do not use private customer documents for general public advertising.
Retention and deletion
Retention depends on the type of information, the product used, account and association needs, security and dispute requirements, legal obligations, and backup schedules. Account deletion does not automatically erase shared association records that another party controls or must retain. When appropriate, personal identifiers may be removed or de-identified while the shared record is preserved.

Your choices
Depending on your location and relationship with CovenanTact, you may have rights to request access, correction, export, deletion, restriction, or information about our handling of personal information. We may need to verify your identity and may deny or limit a request where the law permits or requires it.
Security
We use administrative, technical, and organizational safeguards designed to protect information. No method of storage or transmission is completely secure, and we cannot guarantee absolute security. Protect your credentials and contact support if you believe your account has been compromised.
Children
The Services are not directed to children under 13, and we do not knowingly collect personal information directly from children under 13 without appropriate authorization.
Changes to this policy
We may update this policy as the Services and applicable requirements change. We will post the revised policy with a new effective date and provide additional notice when appropriate.
